Executive Personal Assistant

The role of the Executive Personal Assistant will be to assist the CEO, CFO, and COO in all areas pertaining to the Northgate family of companies while focusing primarily on administrative duties and office support, communicating vital information with our leadership, staff, agents, and other necessary persons to fulfill the vision and mission of NGC.

An Associate and/or a bachelor’s degree or other relevant professional Certification is a plus. Equivalent experience may be accepted. Experience with handling contracts a plus. Must have demonstrated ability to establish priorities, act proactively, quickly and professionally with a can-do attitude. Excellent organizational and problem-solving skills are required. Excellent verbal and written communication skills are also required. Attention to detail and follow through in completing assignments/projects is a must. Thorough and advanced knowledge in the use of Microsoft Office suite (Word, PowerPoint, Excel) is required. Knowledge of RealNex CRM, Rent Manager, and QuickBooks is preferred. Accounting or bookkeeping experience and education is a plus, including understanding the importance of financial audits and reporting. Business and/or Legal experience is helpful. Must have outstanding customer service skills with the demonstrated ability to handle sensitive information, which has tactical and strategic importance. Ability to work independently with discretion and confidentiality.

The Executive Personal Assistant will ensure that the Executive’s productivity is enhanced by performing the following:


  • Input and retrieve information from our RealNex CRM system;
  • Managing calendars and schedules; reserving meeting rooms via GoToMeeting;
  • Ensuring that meetings are scheduled and prepared for, including the coordination of offsite conferences and events;
  • Manage and coordinate complex business travel, both domestic and international by developing itineraries and agendas, arranging meeting accommodations, coordinating with vendors to handle travel logistics including, but not limited to air, chauffeurs, hotel arrangements, business luncheons, personal meals and entertainment;
  • Manage personal travel schedule: art exhibitions, dining, performances by researching, planning, acquiring tickets, coordinating and calendaring;
  • Manage multiple high priority assignments by establishing objectives, determining priorities, managing time, and gaining the cooperation of others to ensure successful completion;
  • Complete work with minimal supervision-assignments must be of the highest quality, and outstanding follow-through is required; and
  • Assist with additional projects and assignments as needed.
